The above image shows the actual process of communication. Where Sender Plays an Important role. Whatever the sender says to the next person it should be meaningful. The person who sends the message has to encode it; means they have to use the medium of language to convey what they have to say to someone. After encoding the message the person has to select the medium or means by which he or she can send the message. After sending the message the listener or receiver has to decode the
message and then he gets what the sender wants to say. So this is the actual process of communication.
There are 7c’s of communication.
- The clarity in speaking.
- Correctness.
- Conciseness.
- Courtesy.
- Concreteness.
- Consideration.
- Completeness.
- Clarity – When we speak to others there should be a sense in the talking. Whatever you say should be clear, short, concise, and to the point. Clarity is the soul of the message. Clarity comes through clear thinking. So while we speak to anyone should have clear meaning to that sentence. The communication should focus on a single aim at a time and not encompass multiple concepts in a single line.
Keep the following elements in mind to obtain clarity:
- Make use of plain and everyday terminology.
- Write brief paragraphs and powerful sentences.
- Instead of using abstract phrases, use concrete ones.
- Don’t give out information that isn’t necessary.
- Correctness. – Correctness plays an important role in communication. Whatever you speak to someone should be in the correct form or right. Correctness in communication increases the confidence and importance of yourself. So while communicating, you have to think or check before you speak.
The sender must guarantee that the message is written in proper English and that there are no grammatical or spelling errors. Furthermore, the message must be precise and timely. Correct messages have a higher impact on the receiver, while the sender’s morale improves as a result of the accurate message.
Writing, according to language specialists, is an art form that is difficult to master. Being an excellent writer does not come easy. It takes a lot of practice and a lot of difficulties to master. The message that is being sent must be accurate.
Correct grammar, punctuation, and spelling are all examples of correctness. Despite the fact that mistakes are never deliberate, they detract from the image. The absence of grammatical errors in communication is defined as correctness.

- The message is precise, correct, and timely.

The elegance of diction resides in its brevity.
Conciseness is defined as being brief and comprehensive. Make your statement as succinct as possible. It must not, however, be so brief as to be incomprehensible. Weighty language definitely sounds impressive but it will only persuade them to do absolutely nothing. Only simple and succinct statements should be made as much as feasible.
Conciseness refers to communicating what you want to say in the fewest number of words feasible while maintaining the other C’s of communication. Effective communication necessitates conciseness.
The following are characteristics of concise communication:
- It is both cost-effective and time-saving.
- It emphasizes the core concept by avoiding the use of unnecessary and superfluous words.
- Concise communication conveys to the audience a brief and important message in a few words.
- The audience is more likely to like and understand a message that is concise. 5. The nature of a concise message is that it is non-repetitive.
- Courtesy – Once the sender’s trustworthiness has been established, make an effort to be respectful in your communication. Almost everything in the corporate world begins and ends with courtesy. When tact, diplomacy, and human appreciation are woven throughout the message, a lot can be accomplished.

It is also critical to approach the audience in a nice and courteous manner, in addition to considering the target group’s feelings and points of view. Effective communication requires the use of language that demonstrates respect for the receiver.
The same may be said about how you address someone. If you use a familiar form of address, not everyone will be captivated, and using a formal address may come across as overly distant. The term “they” is used to address a bigger audience right away.

- Concreteness – Concrete communication entails being specific, meaningful, and unambiguous. Messages that are vague or generic receive no response. It aids the receiver in grasping the precise concept. The utilization of concrete facts and data adds to the message’s validity.
Concrete communication entails being specific and precise rather than hazy and broad. Confidence is bolstered by concreteness.
The following characteristics are present in a concrete message: 1. It is backed up by particular numbers and data.
- It uses straightforward language that enhances the brand’s reputation. 3. Concrete messages do not get misunderstood.
In communication, “concreteness” refers to a person’s message being specific, to the point, and definite. It is the polar opposite of vagueness or non-specificity. In both personal and professional relationships, concrete communication is critical to ensure that the recipient of a message understands the sender’s meaning.
- Consideration- Consideration entails “putting oneself in the shoes of others.” The audience’s viewpoints, background, mindset, education level, and other factors must all be considered while communicating effectively. Make an effort to picture your target audience, their needs, emotions, and issues. Ascertain that the audience’s dignity is preserved and that their emotions are not jeopardized. Modify your message’s words to meet the needs of the audience while yet remaining complete.
The following are characteristics of mindful communication:
- Place a strong emphasis on the “you” approach.
- Empathize with the audience and show a genuine interest in them. 3. This will elicit a favorable response from the audience.
The purpose of consideration is to put yourself in the shoes of the receiver. It entails planning each communication with the recipient in mind. This pattern of thought is referred to as “you attitude.”

You attempt to show real consideration for his interests and benefits when you are sincerely thoughtful.
- Completeness – Complete communication is required. It should include all of the information that the audience requires. The sender of the message must consider the receiver’s mindset and deliver the message appropriately.
The following are characteristics of comprehensive communication: 1. An organization’s reputation is built and enhanced through complete communication. 2. Furthermore, they are cost-effective because no critical information is lost, and there is no additional expense associated with sending additional messages if the communication is complete.
- When more information is needed, a complete conversation always provides it. 4. It answers all of the receiver’s questions.
- Complete communication aids the audience/reader in making better decisions.
These are the 7c’s of communication which really affects anyone’s personality who wants to accomplish any dream or goal. So unless and until we follow the 7c’s of effective communication no one will achieve anything that they dreamed for.
